Using the module in the admin

Once the module is set up, e-invoices go out automatically. Normally you do not need to do anything. In the admin, though, you can follow the sending and step in when needed.

Place What is there
Orders → Peppol e-faktúry The list of all documents, filters, problem documents and records (log).
Order detail The Peppol e-invoice panel with the status of the invoice and credit notes for this order.
Modules → WEB Vision Peppol → Configure Settings, cron and license.

Open Orders → Peppol e-faktúry. The Sent (Odoslané) tab shows for each document the order, number, recipient, amount, status, delivery status, status of the report to the Financial Administration and the last message.

  • Search: by order ID, document number or reference.
  • Status filter: All statuses, Problem documents, Cancelled without credit note or a specific status. The number of documents is shown next to each status.
  • Run synchronization: immediately sends waiting documents and fetches the current delivery statuses. Cron does the same job, so use the button when you do not want to wait.
  • Records tab (Záznamy): a chronological log of what the module did (information, warning, error). Useful when looking for the cause of a problem.

A red number on the Sent tab shows the number of documents with an error.

  • Held documents have been waiting longer than 5 days. An e-invoice must be handed over within 15 days of delivery or payment. Check them and send them.
  • Cancelled or returned orders without an e-credit note. See Cancelling an order and credit note below.

The order detail has a Peppol e-invoice panel. In the test environment it carries a TEST badge. For each document it shows the number, status, delivery/FS and the last message, and offers these buttons:

Button What it does
Detail Opens the document details (progress, error, XML, PDF).
Hold (Pozdržať) A document waiting to be sent is not sent automatically. You can check and correct the data.
Send (Odoslať) Sends the document immediately (after confirmation). Use it also after fixing an error.
XML preview Shows how the e-invoice would look, without sending.
Send e-invoice Manually queues and sends the e-invoice if it was not created automatically.
Send e-credit note #… Manually sends a credit note for this order.

In the document detail you see the provider, the number of attempts, the sending time, the trigger and the text of the last error. These buttons are available:

  • Send: sends the document now.
  • Hold: stops automatic sending.
  • Validate with the provider: has the provider check the document (EN 16931 and Peppol BIS rules) and shows the result. It reveals errors before the document goes out.
  • Return to queue (Vrátiť do fronty): a document with an error goes back to the queue and the module tries again (for example after fixing the settings).
  • XML: downloads the e-invoice as a file.
  • PDF: downloads the PDF version from the provider (if it provides one).
  1. Issuing an invoice (or reaching the chosen order status) puts the document in the queue.
  2. The module builds and checks the document. If it is fine, it sends it.
  3. If sending fails temporarily, the module tries again after 5, 15, 60, 180 and 720 minutes.
  4. On a data error (e.g. a missing IBAN) the module waits for your correction. After fixing it, send the document with Send or Return to queue.
  5. Later, cron finds out whether the document was delivered to the customer and reported to the Financial Administration, and records it with the document.

If you want time to check a document before it goes out, set the Send delay on the 4. Sending tab (e.g. 120 minutes for business customers).

  • The document waits for the set time but always goes out on the day of issue, at the latest at the time Send by the latest at (default 23:30).
  • While it waits, you can hold it in the order. A held document does not go out by itself; send it with Send after checking.
  • Delayed documents are sent by cron, so with a delay run cron at least every 10 to 15 minutes.

Once an e-invoice has been sent and reported to the Financial Administration, it cannot be cancelled by deleting it. It is corrected with a credit note.

If you cancel or return an order after the e-invoice has been sent, the module warns you in the order panel and in the document list: “The order is cancelled, but the e-invoice … has already been sent.” Create a credit note via Product return / Partial refund in the order detail. The e-credit note is then sent and cancels the e-invoice.

Customers without a tax ID and customers abroad

Section titled “Customers without a tax ID and customers abroad”
  • A customer without a tax ID or VAT ID (an ordinary person): no e-invoice is sent; the document gets the status Not sent. That is fine.
  • An order with a zero total (e.g. free): the invoice is not sent and no error is raised; the document is skipped.
  • A company outside Slovakia: the module needs its Peppol ID. Fill it into the field you set under Advanced → Field with the customer’s Peppol ID. Without it the document is not sent.
  • A company that is not in the Peppol network: if Also send to customers outside Peppol is on, the document is handed to the provider. The delivery status will be Recipient is not in the Peppol network. Whether and how the provider reports it to the Financial Administration, check with them. Send the invoice to the customer another way as well.
