Company data and document checks
The module helps an e-invoice go out with correct customer data and makes sure a document where something does not add up is not sent. The module holds such a document (status Held, Pozdržané) and tells you what to check. After you fix it, send it with the Send button.
Company fields in the customer address
Section titled “Company fields in the customer address”The customer address has a checkbox I am buying for a company (Nakupujem na firmu) with the fields Company name, Company ID (IČO), Tax ID (DIČ) and VAT ID (IČ DPH). Turn it on under Settings → Advanced → Company fields in the customer address (on for a new installation, off after an update).
- Slovakia: name, IČO and DIČ are required. The VAT ID (if filled in) must be
SKplus the DIČ. - EU company: name and VAT ID including the country code are required.
- The data is saved with the address and also copied into the standard PrestaShop address fields (company, IČO, VAT ID or DIČ), so your invoicing module sees it too.
- Every purchase is a company one: a setting for B2B shops. The checkbox is fixed on and the company fields are always required.
- An address saved outside the form (admin, import) is left unchanged.
- You can also edit the DIČ in the admin under Customers → Addresses (PrestaShop 1.7.7 and later).
Loading a company from the register
Section titled “Loading a company from the register”The Loading a company from the register option (Advanced) adds a button next to the IČO that fills in the name, DIČ, VAT ID and address from the ORSF register. The other option suggests companies as the name is typed. It works only for Slovak companies and with the company fields in the address. The customer’s browser does not contact the third party; the request goes through your shop. On for a new installation, off after an update.
IČO and DIČ on the standard invoice
Section titled “IČO and DIČ on the standard invoice”The option IČO and DIČ on the standard invoice (Advanced) prints the supplier’s and customer’s IČO, DIČ and VAT ID below the items of the standard PrestaShop PDF invoice and credit slip. Do not turn it on if your invoicing module already prints them. A custom invoice template may not show them; then add them in that template.
Customer data is frozen with the order
Section titled “Customer data is frozen with the order”IČO, DIČ and VAT ID are saved when the order is created. Complete data is frozen, so the e-invoice and its credit note always carry the same data, even if the customer edits the address later. To refresh it from the address, send the document manually with the Send button.
Company without a DIČ
Section titled “Company without a DIČ”If the customer filled in a company name and IČO but no DIČ, the module does not treat them as an ordinary customer. According to the Company without DIČ option (Advanced) it either holds the document with a warning (recommended, default on a new installation) or skips it (after an update the previous behaviour stays). Add the DIČ to the order’s billing address and send the document with Send.
VAT ID check in VIES
Section titled “VAT ID check in VIES”For a document to a company in another EU country with a VAT ID, the module checks the number in VIES before sending (option VAT ID check in VIES, Advanced; on for a new installation, off after an update).
- A valid number is saved (valid for 30 days) and shown on the document with the consultation number. It is evidence that the supply without VAT was justified. VIES issues a consultation number only if your own VAT ID is filled in the settings.
- An invalid number holds the document, because VAT would have to be charged.
- A VIES outage is not an invalid number. The module tries again on the next attempt.
You see the result of the check in the document detail and in the order panel.
ECB rate for a foreign currency
Section titled “ECB rate for a foreign currency”For a document in a foreign currency, the VAT in euro is converted at the ECB rate for the delivery date (weekend or holiday: the last published day). The rate is stated in the document note and shown in the detail. It works without a module that downloads rates, and even when the shop’s default currency is not the euro. It is set by the Rate for VAT in a foreign currency option (Advanced): the ECB rate on a new installation, the order’s rate after an update. ECB history covers the last 90 days; older documents use the order’s rate. During an ECB outage the document is retried on the next attempt.
When the module holds a document
Section titled “When the module holds a document”| Situation | What the module does | What to do |
|---|---|---|
| A company has a name and IČO but no DIČ | Holds (when set to Hold). | Add the DIČ to the billing address. |
| EU customer with a valid VAT ID, but the order contains VAT | Holds. | Check whether the VAT should have been removed (a PrestaShop setting), or send the document manually. |
| Document without VAT for an EU company, but the VAT ID was not checked in VIES | Holds. | Turn on the VIES check, or send manually after your own check. |
| The country in the VAT ID does not match the billing address country | Holds. | Correct the address or the VAT ID. |
| The customer’s Peppol ID is the same as yours | Holds. | Correct the customer data. |
A manual Send bypasses these checks: it is assumed you checked the document yourself.
Document adjustments in the order detail
Section titled “Document adjustments in the order detail”In the Peppol e-invoice panel in the order detail you can set for a document:
- Reason for 0 % VAT on the document: supply to the EU, export, reverse charge, zero rate, or an exemption with your own text. Automatic keeps going by the customer’s country and the settings. It also applies to credit notes for the order.
- Delivery date on the document: empty = automatic (the order’s delivery date, otherwise the invoice date).
- Customer’s Peppol ID: for a foreign customer who told you theirs.
